A platform, or a system that runs your equipment?

EZOfficeInventory — now sold under the EZO brand — is an enterprise asset management platform with a CMMS attached, sitting inside a four-product suite alongside an IT-asset tool, a maintenance product and a rental product. It does RFID, GPS and telematics, depreciation, purchase orders, audits and a named integration list including Zendesk, Jira, Okta and QuickBooks. It claims 3,000+ organisations and carries logos like ABB, PepsiCo, Porsche and Harvard. This is a serious product and it is not pretending to be anything else.

Its homepage now reads “Enterprise Asset Management Software & CMMS”. It used to read like an office-inventory tool. That repositioning is the context for this page: the small-team end of their market is not where they are heading, and their pricing and packaging increasingly reflect that.

Itefy is a single product for teams whose equipment gets booked, borrowed and maintained. Narrower on purpose — no RFID, no GPS, no purchase orders, no certification badge — with the operational core complete on every plan.

The pricing physics

EZO prices by the number of tracked items, on a slider, with unlimited users on every plan. That is the mirror image of our model, and which one is cheaper depends entirely on the shape of your organisation.

The direction of travel matters more than either number: their meter runs on items, so growing your catalogue raises the bill automatically. Ours runs on capacity tiers you choose — $15/month carries 500 items, $39 carries 2,000, $79 carries 10,000 — so the price only changes when you decide it does.

Their model beats ours in one specific shape

Unlimited users is not a marketing line, it is a real structural advantage. If you have three hundred people and two hundred assets, EZO’s pricing is on your side and ours is not: we charge for seats and they do not. Equipment-heavy small teams are usually the opposite shape — more gear than people — and that is who we are built for. Work out which one you are before you compare anything else.

One piece of history worth knowing when you look at older reviews: their entry bundle used to include 250 items at a lower price and now includes 100 at a higher one. Third-party sites still quote the old figures, so check the live slider rather than a comparison table — including this one.

What sits on which tier

The second half of the cost question is which tier the thing you actually need lives on. According to their published plan comparison, several operationally central features sit above the entry tier.

The row we would look at hardest is the availability calendar. A booking workflow runs on it, and their plan comparison puts it on Premium — the tier that also carries SSO, GPS and the integrations. If bookings are the reason you are buying, price Premium rather than Essential.

The core workflow, compared

On the operational core the products overlap a lot, and EZO has more of almost everything. What differs is where it sits and what it costs to reach.

Itefy’s entry plan carries the whole core: bookings, checkouts, issues, maintenance, condition and location tracking, QR labels and the mobile app. Plans differ by capacity and a few extras.

The other difference is what it takes to get going. Their reviewers consistently praise the product once it is configured, and just as consistently mention that the configuration is a project — one industry survey of implementation-mentioning reviewers found most found early navigation difficult, and “overwhelmed by the multitude of features” is a recurring phrase. Slow loading and mobile app glitches come up too. These are minority themes against strong overall ratings, and we mention them as things to test in a trial rather than as our verdict.

Itefy is self-serve by design: no implementation phase, no onboarding fee, no mandatory training. You import a spreadsheet and start booking things. That is a real difference in kind, not just degree — but it is also the flip side of having fewer features to configure, which is exactly the trade the rest of this page describes.

Where EZOfficeInventory is the better choice

EZO is a feature superset of Itefy in almost every direction. The honest list of what you would give up:

  • RFID, GPS and telematics. Hardware-level tracking we do not offer at all.
  • SOC 2 Type II and ISO 27001. Itefy holds no equivalent certification. If your procurement process requires one, that decides it, and no amount of “operated in Europe” substitutes for a certificate.
  • Purchase orders, depreciation schedules and a formal audits module.
  • SAML SSO and LDAP/Active Directory. We have “Sign in with Google” and nothing more.
  • A named integration list — Zendesk, Jira, Zapier, Okta, QuickBooks, Google Workspace, MDMs and more. We advertise none, though we do have a REST API on Business and up.
  • Unlimited users on every plan.
  • A suite — if you also need IT asset management or a full CMMS, there is a product next door and a single vendor relationship.
  • Review volume and references. 1,500+ Capterra reviews against our handful. If social proof is how you buy, theirs is overwhelming and ours is not there yet.

Three questions before you renew

  1. What will your bill be at next year’s item count?

    Not this year’s. Their meter moves on its own as the catalogue grows; ours moves when you change plan. Model both at the number you expect to reach.

  2. Which of the features you are paying for did anyone open this quarter?

    Breadth costs money whether or not it gets used, and it costs configuration time up front regardless.

  3. Is the availability calendar on the tier you are actually buying?

    Their plan comparison puts it on Premium. If booking is the workflow, that is the price to compare, not the entry one.

What switching involves

Export your assets from EZO to CSV or Excel and import them with Itefy’s guided wizard — column mapping, row-by-row review, then you are working. Categories, locations, custom fields and photos come across, and existing QR and barcode labels keep working, so nothing needs re-tagging.

Expect to simplify on the way across. If you have built deep custom-field structures and conditional workflows in EZO, some of that will not have a home in Itefy — which is either the point of moving or a reason not to, depending on why you are looking.

Questions people ask

  • It depends on how many items you track — their pricing is a slider. At 100 items their entry Essential plan was $44.75/month on yearly billing when we checked in July 2026, and at 300 items it was $63.55. Users are unlimited on every plan. Check the live slider at your own item count, since the price rises continuously.
  • Their published plan comparison places it on the Premium tier. Check-in/check-out is on the entry Essential tier. In Itefy, the booking calendar is on every plan including the $15 one.
  • Itefy, for most equipment-heavy small teams: $15/month carries 500 items where their entry tier carried 100 items for $44.75 at our July 2026 check. EZO wins when you have very many users and comparatively few assets, because their users are unlimited and ours are seats.
  • No. Itefy is developed and operated in Europe with EUR and NOK billing, but holds no equivalent security certification. EZO advertises SOC 2 Type II and ISO 27001. If certification is a procurement requirement, that is a genuine reason to choose them.
  • Itefy has issue reporting, repair tracking and preventive maintenance schedules on every plan, which covers the common equipment-maintenance workflow. It is not a full CMMS: EZO offers deeper work-order management, though the full version is a separately priced per-admin add-on above the Premium tier.
