WebCheckout alternative: everything a campus cage needs

WebCheckout does almost exactly what Itefy does, and in several places it does more. It is also built around a university equipment cage — course enrolment, student workers, late fines. If you looked at it and thought “this is more institution than we are”, this page is for you.

They do our job, and they do it properly

Most pages in this section compare Itefy with something built for a different job — a fixed-asset register, an inventory app, an IT tool. This one is different. WebCheckout does our job: reservations with double-booking prevention, kits and bundles, a self-service portal for borrowers, check-in and check-out, maintenance, usage reporting, on shared physical equipment that people book ahead.

So there is no feature-gap story here, and we are not going to invent one. On capability they match us and in several places they go further. What differs is the shape of the organisation each product assumes you are.

Built for a campus

Look at what their product does that ours does not, and a picture forms immediately:

  • Lending rules driven by course enrolment and certifications — a student can borrow the good camera once they have passed the class.
  • Term-aware availability, so booking windows follow the academic calendar.
  • Late fines and usage-fee billing.
  • Student-worker shift scheduling through a personnel module.
  • Project greenlighting that talks to a student information system.
  • Room and studio booking alongside equipment.

None of that is bloat. It is a precise description of running a campus equipment cage, and if that is your job you should probably buy it. It is also a list of things a five-person production company, a church AV team or a council depot will never once use — while paying for the platform that carries them and the implementation that configures them.

That is the whole argument of this page. Not that WebCheckout is worse. That it is bigger than most people who find it.

Their pricing page lists three tiers — Lite, Pro and Enterprise — with feature lists but no prices. The gating that matters most for a smaller team is what Lite does not include.

The row we would look hardest at is maintenance. On their pricing page, “repair and preventative maintenance tracking” appears in the Pro and Enterprise lists and not in Lite’s — and Lite’s list is a detailed nine items rather than a teaser, so the omission reads as real gating rather than a shortened summary. If you are pricing Lite and you need to track servicing, check that with them directly before you sign, because it changes which tier you are actually buying.

How you buy it

WebCheckout publishes no prices. We read their pricing page in a browser to be sure: three tiers, full feature lists, and not a single number. Pro includes “onboarding experts to guide you through your implementation process”, which tells you the shape of the purchase — a conversation, a quote, and a project.

We are not going to guess at what they charge. There is a figure circulating on one directory listing; it is uncorroborated, and printing someone else’s unverified price on our own comparison page would be exactly the kind of thing this section of the site exists not to do. Ask them.

What we can tell you is our side. Itefy is $15/month for 500 items and 3 users, $39 for 2,000 items and 5 users, up to $159 for 50,000 and 20, with extra seats at $3–5/month. Monthly or yearly, no minimums, no setup fee, no implementation charge, no mandatory onboarding. You can start this afternoon without speaking to anyone.

Where WebCheckout is the better choice

They beat us on more than we beat them on. The honest list:

  • Room and space booking. Rooms, studios, labs, gyms. Itefy books equipment; it does not book spaces at all.
  • SSO and LDAP, plus student-information-system integration. We have “Sign in with Google” and nothing more.
  • A deeper policy engine — who may borrow what, for how long, gated on credentials and enrolment, with administrative overrides.
  • Accessibility as a headline commitment — a Patron Portal built to WCAG guidelines and an ADA-compliant mobile reservation interface. We make no equivalent public claim, and for a public institution that can be decisive.
  • Billing of usage fees, late fines and repair costs. We have nothing comparable.
  • RFID support, and padding time around bookings for inspection or charging.
  • Licensed, self-hosted deployment at Pro and above, if SaaS is not permitted where you work.
  • Staff shift scheduling and project greenlighting modules.
  • 450+ academic centres and testimonials from customers a decade in. Our reference base does not compare.

Three questions that decide it

  1. Does your lending depend on who someone is?

    If access is gated on course enrolment, certification or training records, that is WebCheckout’s home ground and Itefy’s permissions are coarser. If everyone on your team may borrow everything, you will never touch it.

  2. Do you book rooms as well as gear?

    If studios, labs or spaces need reserving alongside equipment, Itefy cannot do it and they can.

  3. Is an implementation project something you have time for?

    Theirs is a quote and an onboarding programme. Ours is a signup form and a spreadsheet import. Neither is better in the abstract — they suit different sizes of problem.

What switching involves

Be realistic about what does not come with you. Course-enrolment rules, certification gating, fine schedules and room bookings have no home in Itefy. If those are load-bearing for you, this is not a migration — it is a downgrade, and you should stay.

How we researched this

  • We have not used WebCheckout. Everything here comes from their own homepage, pricing page and higher-education page, read in a browser in July 2026.
  • Plan gating in the table above was read directly off their pricing page rather than taken from a directory.
  • We print no price for WebCheckout, because they publish none. A figure circulates on one third-party listing; it is uncorroborated and we will not repeat it.
  • There is no trial row in the table. Directories say they offer one; their own site does not mention it, so we have left it out rather than guess.
  • The “450+ academic centres” figure is their own claim, confirmed still on their higher-education page in July 2026.
  • If we have got something wrong — particularly the maintenance gating — tell us at support@itefy.com and we will correct it.

Questions people ask

  • They do not publish prices. Their pricing page lists Lite, Pro and Enterprise with feature lists and no numbers, and Pro includes guided implementation — so expect a quote and a conversation. We deliberately do not print a figure for them, because the only one in circulation is a single unverified directory listing.
  • Yes. “Prevent double booking” is listed on Lite, their entry tier. Anyone telling you otherwise has not read their pricing page. On booking conflict prevention the two products are equivalent.
  • It does not appear to be. “Repair and preventative maintenance tracking” is listed under Pro and Enterprise but not under Lite, whose list is otherwise detailed. Confirm it with them if you are pricing Lite. In Itefy, maintenance is on every plan including the $15 one.
  • No. Itefy books equipment, not spaces. WebCheckout books rooms, studios, labs and gyms alongside equipment, and if you need that, they are the better choice.
  • Teams that are not a campus. A single department, a production company, a makerspace, a church AV team, a council depot — anyone who needs the booking and checkout loop without enrolment gating, fine schedules and an implementation project.
