Room 314

Nobody hid it. It simply never became anybody's.

Housekeeping had flagged it. I am fairly sure of that. Somebody said the kettle in 314, and somebody else said they would look at it, and then the shift ended the way shifts end. We sold the room that evening. The guest came down at eleven. Polite about it, which was worse. I stood at the desk and worked out that four people had known — and that not one of them had been wrong.

A fault that lives in conversation belongs to whoever heard it last. That is not the same as belonging to somebody.

Four places that goes wrong, and what actually changes them.

Room 314

A fault told to a person has no owner.

It gets mentioned at handover, remembered by two people and written down by none, and the room goes back on sale because nothing anywhere says otherwise. What actually fixes it: report it at the thing itself, and give it a name and a date the moment it is reported.

  • Scan the label on the item and report the fault with photos
  • A responsible person and a deadline on every one
  • Mark it inoperative so it stops being offered as available
  • Every update stays on the ticket, through every shift change

Before the season

The plant room does not wait for a quiet week.

HVAC service, lift inspections, pool plant, the deep-cleaning machines — all of it is known in advance and all of it slides, because the week it was due was the week you were full. What actually fixes it: put the work on the calendar as a recurring booking, so the one that slid says so rather than waiting to be noticed.

  • Recurring service and inspection schedules, at the interval each needs
  • A reminder six hours before a scheduled job is due to start
  • If the slot ends and nothing was completed, that is flagged an hour later
  • A full work history, with costs, on every asset

What it is worth

The owner asks what is in the building. Then what it cost.

Both questions are reasonable and neither has an answer, because the furniture came in over nine years, the invoices are with finance, and the only list anybody trusts is the one made for the last insurance claim. What actually fixes it: keep purchase data on the asset from the day it arrives.

  • Purchase value and depreciation per asset, rolled up per property
  • Maintenance costs by period, by asset and by equipment type
  • Import the asset lists you already have from a spreadsheet
  • Export any of it to Excel, CSV or PDF

Between departments

The banquet gear belongs to three departments and to none.

Rollaway beds, staging, linen trolleys, the good extension leads. They move between floors and functions on the strength of somebody knowing where they were last week. What actually fixes it: check them out the way you would check out anything else, and let the record do the knowing.

  • Check gear out between departments with a return date
  • Reminders before it is due, and again once it is late
  • Kits keep a set together, so the whole trolley books as one thing
  • The full history sits on the item, not in somebody's memory

What Itefy does not do

It does not model every guest room. Locations are capped by plan — up to 250 on the largest — so a property of any size tracks by floor and zone and puts the room number on the item. Worth knowing before you start building the location tree.

Everyone who reports a fault needs a seat. Up to 20 users on the largest plan. This is a tool for the maintenance and management team; if you want every housekeeper reporting directly, count the seats first.

It does not talk to your PMS. No room status, no channel manager, no housekeeping-app integration. Itefy does not know whether a room is occupied, sold or out of order — and it will not stop you selling one.

Guests cannot report anything. A QR label scanned by somebody without an account opens a read-only page. There is no guest-facing form.
