Add items

In order to add items in Itefy, you need to have permissions to do so. If you are the owner of the account, you have access to do that, both in the web app and the mobile app.

You can open the window to add items from multiple places in the web app:

  • From the shortcut menu on the dashboard
  • In the main menu under Items
  • From the item search/listing (+Add button in the toolbar to the top right)

Add an item

Add the information that is relevant, and also a picture of the item. Only the item name is required, and you can optionally add and change all the other information later.

  • Item information
    • Item name (required)
      The name of the item that describes the item properly enough to separate it from other items
    • Unique ID
      A serial number, licence plate, software serial number or any other code that is unique for that item. Should be added later on if you select to multiply the item.
    • Item type
      The category in which the item fits (more on type management)
    • Image
      A picture of the item that will show up in the search results / item listing. Format should be either PNG or JPEG, and we recommend that the ratio is equal to or somewhere near 4:3. You can add more pictures later on, and even change the main picture.
  • Purchase information
    This information is from where the current depreciated value of each item is calculated. In Itefy, the straight-line depreciation method is being used.
    • Acquisition date
      Select the date the item was purchased
    • Expiration date
      This should reflect the expected or estimated lifespan of the item, or when you plan to sell or somehow get rid of the item.
    • Acquisition value
      The cost of the item when it was purchased at the acquisition date defined above.
    • Salvage value
      The estimated value of the item at the expiration date. Set to 0 if you don't plan to sell it at the expiration date.
      The salvage value can however also be higher than the acquisition value, if the item is something that becomes more valuable over time (i.e. real estate, art, wine etc.)
  • Properties
    • Primary person responsible
      Select a user that has the primary responsibility for the item. This user will be notified on condition changes, new issues etc. for this item.
    • Home location
      Select the location where the item should be put back or stored when not in use.
  • Options
    • Multiply item
      If you have several equipment items of the same make and model, for instance laptops, tablets, projectors, cameras etc., you can select this option to automatically create duplications. The items will be automatically numbered. Select how many duplications you would like, and at which number you want to start (1 is the default). You can multiply the same item up to 99 times, or up to how many items you have left in your account quota.
      The series of item records created will not have any relations with each other after creation. That is, you can change each record individually after creating a series.
