Edit reservations
Open the reservation from the reservations list (click the row, or ⋮ → Edit reservation).
The reservation page is split into tabs: Details, History and Comments, plus Occurrences on a recurring series. The status of the booking — whether it was converted to a checkout or an event, and the Planned vs actual summary — sits above the tabs and stays visible whichever one you are on, as does the sidebar with location, assignee, tags and schedule.
Most fields are edited on the Details tab, given you have permission to manage reservations:
- Name: Click the title (or the pencil icon next to it) to rename.
- Classification: Click the colored classification badge in the header to pick another kind.
- Items: Click Edit on the Items card to add or remove items. Itefy checks that new items are available during the reservation's period.
- Description: Click Edit on the Description card.
- Details (sidebar): Click Edit on the Details card to change the location, the assigned user, and tags.
- Schedule (sidebar): Click Edit on the Schedule card (or click a date) to open the Edit dates & duration window and change the start and end.
You can also edit everything in one window: open the More menu in the header and choose Edit all fields….
The History tab
The History tab lists every change made to the reservation: renames, schedule changes, items added or removed, location, assignee, tags, classification, and completion or reopening. Each line names who made the change and when, and shows what the value was before.
The number on the tab is how many changes have been recorded.
On a recurring series the card mixes both levels, which is what you want when reading one occurrence: changes to shared fields appear on every occurrence, while a schedule change, a completion or a reopening appears only on the occurrence it happened to.
A few notes on what it records:
- Names are stored as they were at the time. If a location or an item is renamed or deleted later, the old entry still reads correctly rather than silently changing meaning.
- Description changes are recorded, but not the text itself. You will see that the description was updated or cleared, not what it said before.
- The history starts when this feature was released. Changes made before that were never recorded and cannot be recovered.
Who made the reservation, and when
The Info card at the bottom of the sidebar is read-only and shows the record's own history:
- Created and Created by — when the reservation was made, and by whom.
- Last modified — the most recent change to the reservation, and who made it.
- Completed — when the reservation was marked completed. Only shown once it is.
On a recurring series, Created and Last modified cover the whole series, because those fields are shared. Completed belongs to the single occurrence you have open.
Be aware that changing the schedule may make selected items unavailable — if items are flagged as booked, either replace them or adjust the schedule.
Editing a recurring reservation
A reservation that is part of a recurring series shows a Recurring series label in the header, and gains an Occurrences tab listing every appointment in the series. The number on the tab is how many there are.
Shared fields — name, classification, items, description, location, assignee and tags — are stored once for the whole series, so editing one of them applies to every occurrence. Itefy asks you to confirm this before your first such edit.
Dates are the exception: they belong to each occurrence. To change dates you have two options:
- This occurrence: Schedule card → Edit changes only the occurrence you have open.
- Any occurrence: On the Occurrences tab, click Dates next to an appointment.
Choosing More → Edit all fields… on a recurring reservation first asks what you want to edit: Just this one (dates only) or The entire series (all shared fields, but not the recurrence pattern itself).
