Manage locations
In the main menu, click Filters, then Locations.
Each location also has its own page — click a location to open it. The page shows a description, sublocations, the person responsible, geolocation, pictures & files, and tabs with everything happening at the location (items, checkouts & reservations, issues, events, and history). See below.
The Locations page shows all your locations. Two views are available via the Tree / Flat toggle in the toolbar:
- Tree (default) shows the location hierarchy — sublocations are indented under their parent, and rows with sublocations have an arrow to expand or collapse them. The item count shows the items directly in the location, followed by the total including sublocations (for example
15 / 16). - Flat shows every location as a plain sortable list. Locations that sit inside another location show their parent under the name.
Use the search field to find a location, and the Filter by dropdown to show only locations of certain classifications. In flat view you can sort by clicking the Name or Items column headers.
Add a location
Click New location. A dialog collects everything in one place: the name, the kind of location (shown as cards with short examples), where it sits in the hierarchy, an optional person responsible, a description, and — for fixed locations — a geolocation you can set on a map.
To add a sublocation, open the ⋮ menu on a location's row and choose Add sublocation — the dialog is pre-set to create it inside that location, and suggests a fitting classification (for example Room inside a Building). You can also add sublocations from a location's own page.
Two locations can have the same name as long as they are in different places in the hierarchy — "Shelf 1" can exist in several rooms. If you nest something unusually (say, a site inside a room), Itefy shows a gentle heads-up but never stops you — some setups are intentional.
The number of locations an account can have depends on the subscription plan; when the limit is reached, adding another location asks you to upgrade.
The location page
Click a location to open its page:
- Rename — click the name at the top, type the new name and press Enter. The change is saved automatically.
- Classification — click the colored label next to the name to change it.
- Description — click Edit on the Description card to add notes about the location (access, contents, directions).
- Details (sidebar) — shows where the location sits in the hierarchy, the person responsible for the location, and the item count and total value (both directly and including sublocations). Click Edit to change the parent or the responsible person.
- Geolocation (sidebar, fixed locations) — add an address and/or coordinates. A map preview is shown, with a link to open the position in Google Maps. To get coordinates, right-click a spot in Google Maps and click the coordinates to copy them.
- Sublocations — listed with their classification and item count; add new ones inline.
- Tabs — everything connected to the location: Items (with a This location / Incl. sublocations toggle), Checkouts & Reservations, Issues, Events, Files (pictures and attachments for the location itself — floor plans, access documents, photos), and History (placement history for mobile locations, plus all item moves in and out of the location).
- Main picture — the first picture you upload becomes the location's main picture, shown as its thumbnail in the location list, pickers and sublocation lists (locations without one show their classification icon instead). To use a different picture, hover it under Files → Pictures and click the star.
Move a location
Open the ⋮ menu on a location's row (or on the location's page) and choose Move to… to place it inside another location, or Move to top level to make it a top-level location. A location can never be moved into itself or one of its own sublocations, and the hierarchy can be at most 5 levels deep.
Delete a location
Open the ⋮ menu on the location's row and choose Delete, then confirm. Sublocations of the deleted location are moved to the top level (they are not deleted), and items in the location lose their location.
